Seeking Administrative Assistant

Title: Administrative Assistant

NCCRS, a program of the University of the State of New York Board of Regents, is seeking a highly organized individual interested in joining our organization as an administrative assistant. You will contribute to the success of an innovative, nationally recognized academic evaluation service linking workplace and nontraditional learning to college credit by providing administrative, clerical and technical support. In this role you will work with the director and program staff to complete daily operational and administrative tasks.

The NCCRS office is located in Albany, New York.  The position is part-time with benefits (3 ½ days per week; 26.50 hours), partial telecommute (1 day in office). Duties include, but are not limited to:

  • respond to inquiries while providing exceptional customer service;
  • organize and schedule meetings and appointments;
  • maintain and update databases and website;
  • produce and distribute correspondence memos, letters, forms and invoices;
  • assist in the preparation and editing of professional reports, presentations and marketing materials;
  • order office supplies and equipment, as needed;
  • handle financial aspects including expense reports, billing, payment vouchers, and accounting records;
  • maintain and organize program files and historical records;
  • assist in coordination and implementation of special projects;
  • use technology-based tools, including Excel, project management applications and financial software.

Qualifications:  An associate degree required. At least three years of experience in administrative office management. Business communications, customer service and accounting experience required. Must possess exemplary written and verbal communication skills. Proficiency in Microsoft Office applications Excel and Word is required. Working knowledge of QuickBooks and Drupal is an asset. Attention to detail and ability to multi-task is necessary. Experience in a higher education setting is a plus.

Salary and Benefits: Benefits include vacation, sick leave, personal leave, paid holidays, health insurance, life insurance, and contribution-paid retirement through TIAA after a one-year waiting period. Salary: $43,315.
